Website privacy notice

This notice explains how Darndale Belcamp Social Enterprises (DBSE) handles personal information when you use dbse.ie, contact us, request a venue booking or subscribe to website updates. Reading this notice or visiting the website does not mean that you consent to every use of your information.

Who we are and how to contact us

Information collected through the website

  • Enquiries: your name, email address and the information you include in your message.
  • Venue requests: your name, email address, telephone number, event date and times, attendance numbers, requested facilities or catering, and any additional information you supply.
  • Newsletter requests: your email address and your subscription choice.
  • Technical information: the site and its service providers may receive your IP address, browser and device information, requested pages, and the date and time of access when delivering and protecting the website.

Fields marked as required are needed to handle the relevant request. Without sufficient contact or booking details, we may be unable to respond or arrange a booking. Please do not include health information, identification documents or other sensitive personal information in a general website message. Contact us first if you need a suitable way to provide it.

Why we use information and our legal bases

  • Responding to general enquiries: our legitimate interest in communicating with people who contact DBSE and managing those enquiries.
  • Arranging and administering venue bookings: taking steps at your request before entering into a contract and performing the booking contract. Where you act on behalf of an organisation, we use your business contact details in our legitimate interest in administering that relationship.
  • Sending newsletters you request: your consent. Newsletters are managed through Mailchimp. You can unsubscribe using the link in a newsletter or by contacting [email protected]. Withdrawing consent does not affect processing that was lawful before withdrawal.
  • Maintaining website security and dealing with misuse: our legitimate interest in protecting the site and communications.
  • Keeping records required by law or responding to a binding legal requirement: compliance with the relevant legal obligation.

Where we rely on legitimate interests, we must consider your rights and interests. You can object to that processing. A request about a DBSE service may require a separate service-specific privacy notice; this website notice does not replace information provided for care services, employment, CCTV or other activities.

Who may receive information

Website enquiries are sent to [email protected], where relevant DBSE staff use information to deal with your request. Mailchimp manages our newsletter subscriptions and distribution; see Mailchimp’s privacy information. We also use providers that support website hosting, email, online forms and IT services. Enquiry and venue-booking forms use Mobirise/Formoid technology; submitting those forms involves that service. Newsletter forms submit directly to Mailchimp. Our policies require written arrangements with processors and appropriate measures to protect personal information.

We may disclose information where required by law or where necessary to establish, exercise or defend a legal claim. External websites you choose to visit, including social networks and the Charities Regulator, operate under their own privacy notices.

International processing

Some website providers operate internationally. Where personal information is transferred outside the European Economic Area, DBSE's policies require an applicable lawful transfer arrangement, such as an adequacy decision or appropriate contractual safeguards, or a permitted exception. Agreement to this notice is not consent to an international transfer. You can ask our Data Protection Officer for information about the arrangements relevant to your information.

How long we keep information

We retain personal information only for the purpose for which it is needed and in accordance with our Data Retention and Erasure Policy.

  • Routine enquiries and replies: where correspondence is not part of a record with its own retention period, our policy provides for deletion when its purpose and usefulness have ended, with a maximum of two years.
  • Booking and related records: correspondence supporting a booking, contract or financial record follows the retention period for that record. The period depends on the transaction, applicable legal or contractual requirements, and any relevant claim or investigation.
  • Newsletters: subscription information is used while you remain subscribed. After you unsubscribe, limited information may need to be retained to record your choice and prevent unwanted messages. Our Data Protection Officer can explain the applicable retention arrangements.
  • Other information: retention is determined by the purpose, record type, legal basis and any continuing requirement to keep the information. Where a period cannot be specified, these criteria guide the decision.

Records needed for a legal claim, audit or investigation may be retained while that requirement continues. Information is securely deleted, destroyed or anonymised when it is no longer required. Contact our Data Protection Officer for the retention period applicable to a particular record.

Your rights

Depending on the circumstances and legal basis, you may request access to your personal information, correction of inaccurate information, erasure, restriction of processing or transfer of eligible information to you or another organisation. You may also object to processing, including processing based on legitimate interests, and withdraw consent where we rely on it. These rights are subject to the conditions and exceptions in data-protection law.

Contact our Data Protection Officer using the details above. We may need information to verify your identity. We will respond without undue delay and normally within one month. If a permitted extension is needed, we will explain the reasons within that initial month.

You have the right to complain to the Irish Data Protection Commission. You do not have to contact DBSE first.

Cookies and external services

Analytics (Google Tag Manager) and external media (YouTube and Google Maps) are off until you enable the relevant category. You can accept all, reject optional services or save separate choices. Change or withdraw your choice at any time using , also available in every footer. Withdrawing consent stops future loading; it does not reverse information already received by a provider.

We store your consent choices on your device under dbseConsentV1 for 180 days, then ask again. This preference storage is necessary to remember your choice. If your browser prevents storage, your choice may not persist between pages. Closing the panel without making a choice leaves optional services off on a first visit.

When enabled, Google analytics and media services can receive your IP address and device information and may use cookies or similar technologies. Google Fonts supplies the Montserrat typeface and receives connection information when the font loads, independently of optional cookie choices. Enquiry and booking forms contact Formoid when submitted; newsletter forms contact Mailchimp when submitted. See Google’s privacy notice. External links only open the relevant provider when you follow them.

Security and concerns

Our data-protection policies require appropriate technical and organisational measures, access controls and secure handling of personal information. No online service can guarantee absolute security. If you believe information has been lost, disclosed in error or accessed without authority, contact our Data Protection Officer promptly so the concern can be assessed under our incident procedures.

Changes to this notice

We will update this notice when our website processing or relevant arrangements change. Material changes will be brought to visitors' attention where appropriate.
